1. Eligibility
Club-sponsored social events funded in whole or in part by SARC are intended for current SARC members in good standing. Unless otherwise stated in the event announcement, each member may bring one guest.
2. RSVP Requirement
Advance RSVP is required by the stated deadline. The RSVP must include the name of the member and the name of the guest. Attendance is considered confirmed only after the event coordinator verifies membership and acknowledges the reservation.
3. Guest Limit
Each SARC member may attend with no more than one guest unless an exception is approved in advance by the event coordinator or the Board. Additional family members, friends, or other unregistered attendees are not guaranteed admission, seating, or food.
4. Capacity and Priority
When seating or food is limited, priority will be given in the following order:
- Confirmed SARC members
- One confirmed guest per member
- Any exceptions approved in advance
Late RSVP and unregistered attendees may be declined if space or food is limited.
5. Check-In and Verification
All attendees must check in upon arrival. The event coordinator or designated volunteers may verify names against the RSVP list and membership roster.
6. Food Service and Seating Etiquette
Attendees are expected to wait until the event host announces that food or dessert service is open. Taking unopened shared items, excessive portions, or seconds before all attendees have been served is not permitted. Volunteers may reserve tables or space near the food area as needed for event operations, accessibility, or crowd flow.
7. Implementation
The event coordinator and designated volunteers have authority to enforce this policy. If a member arrives with more guests than permitted, the additional guests may be asked not to enter or may be admitted only if space and food remain after all confirmed attendees have been accommodated.
8. Failure to Comply
If a member repeatedly ignores RSVP limits or event procedures, the Board may restrict that member’s guest privilege for future club-sponsored events.
9. Exceptions
Exceptions may be granted in advance by the event coordinator or the Board for special circumstances.
